This policy explains what personal data we collect on this website, why we collect it, and what you can do about it. It applies to the English and Chinese versions of otmedical.eu.

Information you send us

The contact form asks for your first name, last name, email address, what you are interested in, and your message. We use this to reply to your enquiry. The legal basis is taking steps at your request before a contract, or our legitimate interest in answering business enquiries.

The meeting-request form asks for your name, surname, company, email address, phone number, preferred meeting day and time, and a tick to confirm that we may use those details to schedule the meeting and contact you about the request. The legal basis is your consent, and taking steps at your request before a contract where the request is about doing business with us. You can withdraw that consent by emailing us. Withdrawal does not affect processing that already happened.

We store form submissions in the website database and email them to the people at Operating Theatre Medical who need them to respond. We do not sell your data, and we do not use it for a mailing list.

Data collected when you visit

Our server processes your IP address, browser type, and the pages you request. That is required to deliver the site and to protect it against abuse. The legal basis is our legitimate interest in running a secure website.

Cookies and similar tools

The site uses a session cookie and a security cookie so that pages and forms work, including protection against forged form submissions. These are strictly necessary.

Google Tag Manager (container GTM-KXX772S) loads on every page. It starts Google Analytics 4 (measurement ID G-SJWQX8KT09), which records a page view: the page you opened, technical data about your browser, and your IP address. Analytics is not required to show you the site and may only run after you accept it. The site does not yet ask for that choice, so Analytics currently starts with the page. CookieYes has to block that tag until you accept.

Forms are protected by Google reCAPTCHA v3. Google receives technical data, including your IP address, to distinguish visitors from automated spam. See the Google Privacy Policy and Google Terms of Service.

The footer loads Google Maps to show our locations. When the map loads, Google receives technical data, including your IP address. See Google’s privacy policy above.

We do not use a Facebook advertising pixel.

How long we keep it

We keep enquiry and meeting-request data for as long as we need it to handle your request and any business that follows from it. We delete it when it is no longer needed, or sooner if you ask us to and we have no duty to keep it. Server logs are kept for a limited period for security.

Who else receives it

Access is limited to staff who need the information to answer you. Our hosting provider stores the website and its database, and our email provider delivers the notification emails. They process that data on our behalf.

Google processes Tag Manager, Analytics, reCAPTCHA and Maps data, and may do so outside the European Economic Area, including in the United States. How Google handles that is described in its privacy policy.

Your rights

You can ask us for access to your personal data, for correction or deletion, for restriction of processing, and for a copy in a portable format where that right applies. You can object to processing based on legitimate interest. Where we rely on consent, you can withdraw it.

If we change what this site collects, we will update this page and the date at the top.
